Performing a new booking

Step 1: Selecting an instrument

  • All information about the instrument is available in the list accessible by clicking on the "i" icon

  • The instrument/utility can be added to user’s favorites by clicking on the star

  • A photograph of the actual instrument can be uploaded to help users identify the instrument

Step 2: Choosing a date and hour for the booking

  • The available time slots are white, whereas the unavailable time slots appear gray.

  • If a slot is available, it is colored green after clicking and the reservation will be added into the shopping cart. Any red fields are the bookings of other users. If the slot appears blue with a yellow corner, than this is a reservation request, which needs to be confirmed by the admin or the responsible person before the slot is fully booked. After the reservation is confirmed the yellow corner will disappear and the reservation slot will appear blue. Your own active reservations are displayed blue in the calendar.

Step 3: Completing the booking

  • It is necessary to click on the button Reserve in the shopping cart. If the user has created a booking of multiple utilities for the same date and time an information warning will be displayed. However the bookings will be performed nevertheless.

  • Whether the booking has been successful or not will appear in a brief confirmation notice on the top of the screen.

  • The booking can be later amended or canceled by the user.

  • The instance admin can set up a limit until when the booking can be canceled without paying the fee, if the user cancels after the limit, the time slot will get a status “offered”. This status is displayed as blue with a light green corner. Any other user can then take over the booking including the payment. Otherwise the payment stays with the user who has performed the booking.

  • Depending on permissions, some user’s may need to have their booking confirmed by the admin, the booking is only valid after the admin has confirmed it. A notification will be sent to the user via the messaging system and the reservation will appear in the calendar as confirmed or will disappear in case it was declined.
